Exhibitor Portal Access

Available to confirmed exhibitors only.

You will use the Exhibitor Portal to make payments, download invoices & receipts, update your booth contacts, make changes to your online company descriptions, etc.

The portal can be accessed online, using the UserName and Password provided when you signed up. If you have any trouble accessing the portal, please contact us at FENCETECH@AmericanFenceAssociation.com or at +1.314.561.6717.

Please note that this is a different system from your AFA Membership Portal.

Registration & Housing

American Tradeshow Services (ATS), our official registration company, sent an email to your primary point of contact for the show, with instructions on how to register your booth personnel. Exhibitors receive two (2) complimentary registrations per 100 square feet of space rented. If you have not received this email or are experiencing issues with registration, please contact ATS directly at questions@american-tradeshow.com.

AFA has negotiated a discounted block of rooms at a variety of hotels in downtown Nashville. You can view the list of hotels here. 

PLEASE NOTE: We are hearing that some of our exhibitors have received calls from companies claiming to be in charge of handling hotel reservations for the show. FENCETECH does not use third-party housing companies and these calls are not authorized by the AFA or FENCETECH. ALL official registration & housing communication will come directly from AFA or our registration partner ATS. If the email did not come from either of these sources, then it will not be a legitimate source of information. If you receive solicitations for housing reservations, please send an email to FENCETECH@AmericanFenceAssociation.com.

Exhibitor Services Manual

The Exhibitor Services Manual (ESM) is a comprehensive resource for exhibitors to prepare for FENCETECH 2024 and is provided by our new general services contractor; The Expo Group (TEG). Links for booth services, FENCETECH approval forms, shipping information, electrical, catering, etc. can be found within this resource. 

TEG sent out the Exhibitor Services Manual to all exhibitors on Friday, October 13 and have been sending it out on a weekly basis to all new exhibitors. This email contains a cuomized link for each company, so please reach out to them directly if you have not received it. What Is and What Is Not Included in Your Booth Rental

Following are the items that your exhibit space rental includes:

• Company ID sign with company name and booth number (for in-line/non-island booths)
• 8' high black draped back wall (for in-line/non-island booths)
• 3' high black draped side rails (for non-corner in-line/non-island booths)
• Company and Product Listing on the FENCETECH 2024 online floor plan and exhibitor directory
• Company and Product Listing within The Voice, the official print publication of FENCETECH 2024 (if completed by DEADLINE TBD)
• Two (2) booth personnel show badges per 10' x 10' booth space. Additional personnel badges can be purchased for $50 per person.
• Online Exhibitor Services Manual.

Your exhibit space rental does NOT include: 

• Floor covering. Booth carpet or other appropriate floor covering is required for all exhibits. You may bring your own floor covering with you, or you may rent it from our general services contractor, TEG.
• Exhibitor Insurance. All exhibitors are required to have general liability insurance coverage from an insurance company in good standing, with minimum policy limits of $1,000,000 per occurrence and $2,000,000 aggregate. If you do not have this coverage, we have negotiated a $84 rate from our insurance partner, Rain Protection Insurance Solutions.
• Electrical outlets or access to electricity. This may be ordered through the Exhibitor Services Manual.
• Material handling/Freight delivery. You can work directly with TEG on this.
• Booth cleaning. TEG provides aisle cleaning each night and once before the show opens. If you would like to purchase cleaning for within your booth, please order this through the Exhibitor Services Manual.
• Lead retrieval services. ATS is the official provider of lead retrieval services, and you will be able to order this through the Exhibitor Services Manual.

Insurance

Insurance is Required for ALL Exhibitors

All exhibitors are required to have general liability coverage from an insurance company in good standing, with minimum policy limits of $1,000,000 per occurrence and $2,000,000 aggregate.

This insurance must be in force during the lease dates of the event (January 22-26, 2024), naming the American Fence Association (3751 Main St., Suite 600 #373, The Colony, TX 75056) as the certificate holder and as additional insured.
